How it works

In one answer

An AI task manager is software that captures, tracks and chases tasks without manual entry. Officeagent detects commitments made in email and meetings, adds them to one shared office list with owner and due date, then nudges owners with human-approved reminders.

Approve it. Nothing sends without you.

In the product you edit the draft right here; the agent learns your correction.

Officeagent drafted, you approved, it executed.

Nothing is sent until you approve it. Every action is logged.

Task capture without the data entry

When you write "I will send the proposal by Thursday" in an email, that is a task. When a colleague says "I will book the venue" in a meeting, that is a task. Nobody types those into a tool, which is why the tool is always out of date. Officeagent reads your connected inbox and every meeting summary from the AI meeting notes and creates the task the moment the commitment is made: owner, due date, source thread attached.

Tasks you receive are captured too. When a client writes "can you get us numbers by Friday", the task appears on your list with the deadline, before you have even replied. You can always add tasks by hand or by telling the agent in plain language, but most offices find that after week one, the list mostly fills itself.

  • Commitments detected in sent and received email
  • Action items pulled from every meeting summary
  • Owner, due date and source link attached automatically
  • Plain-language add: "remind me to renew the lease March 1"
  • Uncertain captures are flagged for confirmation, not added silently

One task list for the office, with polite nudges

Every task lives on one shared office list, filterable by person, project or week. Two days before a deadline, Officeagent drafts a short nudge to the owner. If the task involves someone outside the office, the nudge becomes a drafted chase email through the follow-up engine. Every nudge that leaves the building waits in the approval queue first, so a human always signs off on tone and timing.

The nudges are calm by design. One reminder before the deadline, one on the day, then an escalation to the manager only if you have turned that rule on. No red badges, no guilt streaks.

The daily digest that replaces the standup

Every morning at 7:30, each person gets a short digest: due today, due this week, done yesterday, and anything drifting past its date. The office manager gets the rollup across everyone. Most offices find the digest quietly replaces the Monday status meeting, which pays for the Office plan on its own. The digest is informational and internal, so it arrives without approval friction, while anything outbound still requires a human click.

Questions on this

Will it create tasks from things that are not really tasks?

It errs on the side of asking. Clear commitments with a date are added directly. Anything ambiguous shows up in your daily digest as "confirm or dismiss" so the list stays clean rather than noisy.

Does it nag people?

No. The default is one reminder two days out and one on the due date, drafted for approval if it goes to anyone outside the office. You set the escalation rules, and every nudge is logged.

Do we have to leave Asana or Trello?

No. Many offices run Officeagent as the capture layer and keep their board. It can mirror tasks into your existing tool through the CRM and tools integration, or replace the board entirely for smaller teams.

Can it see tasks in private email threads?

It only reads the inboxes you connect, and you can exclude any label, folder or sender by rule. Legal, HR and personal threads can be walled off entirely, and nothing it drafts leaves without human approval.
