Data Entry Automation That Types the Rows So You Verify Them

Invoices, receipts and form submissions arrive all day. Officeagent reads each one, extracts the fields, and writes the row into your spreadsheet or CRM. Anything it is not sure about goes to a human verification queue, not into your books.

How it works

In one answer

Data entry automation is software that extracts data from documents like invoices, receipts and forms and enters it into systems for you. Officeagent writes the rows into your spreadsheet or CRM, flags low-confidence fields, and routes them to a human verification queue.

From document to row, automatically

An invoice lands in the inbox. Officeagent reads it, pulls vendor, date, line items, tax and total, and appends the row to your expenses sheet or accounting export. A lead form comes in from the website: name, company and phone become a CRM record through the CRM integration, deduplicated against contacts you already have. Receipts photographed on a phone and dropped into a Drive folder get the same treatment, which is how a month of loose receipts becomes the lines on an expense report without anyone typing them.

The agent does not care whether the source is a clean PDF, a scanned page or a screenshot. It cares whether it can read each field with confidence, and it tells you when it cannot. Rows land in the sheets kept tidy by the AI assistant for spreadsheets, so the destination stays as clean as the entry.

  • Invoices and receipts extracted to spreadsheet or accounting rows
  • Form submissions and email leads written into the CRM
  • Duplicates detected and merged, not re-entered
  • Source document linked from every row it creates
  • Works from email attachments, Drive folders and forwarded scans

Automated data entry accuracy, framed honestly

No extraction system reads every document perfectly, and any vendor who claims 100 percent is selling you unchecked errors. Officeagent scores its own confidence on every field. High-confidence fields are entered directly. The roughly 7 percent that score low, a smudged total, an unusual date format, a handwritten note, go to a verification queue where a human confirms or corrects them in a couple of keystrokes.

That split is the whole design: the agent does the typing, a human does the judging, and the verified corrections teach the agent your vendors' formats. After a month on your documents, the flag rate drops because it has seen your recurring invoices before.

A verification queue, not a leap of faith

The queue shows each flagged field next to a crop of the original document, so verification takes seconds. Nothing flagged enters your books until a person confirms it, and every entry, automatic or verified, is logged with its source. This is the same approval-first rule that governs all of Officeagent, described in how it works: the agent executes routine work, humans approve what matters. Officeagent handles data entry; it does not provide accounting or financial advice.

Questions on this

What happens when it misreads a field?

Low-confidence fields never enter your books directly. They go to the verification queue with the original document alongside, and a human confirms or corrects them. Corrections train the agent on your document formats.

Which systems can it write into?

Google Sheets and Excel via the Google Drive integration, plus the major CRMs. If your workflow ends in a spreadsheet, it works on day one.

Is our financial data safe?

Documents are processed with encryption in transit and at rest, access is scoped to the folders and inboxes you connect, and every row the agent writes is logged with its source. A DPA is available on request.

Can it replace our bookkeeper?

No, and we do not claim it should. It removes the typing so your bookkeeper reviews clean, sourced rows instead of entering them. Officeagent is not accounting, legal or financial advice.
