Vimcal costs $25 per user a month billed yearly, or $35 billed monthly, for the iOS and desktop calendar. Vimcal EA, the version built for executive assistants, costs $68.75 a month billed yearly, or $85 monthly. There is a free plan, but it runs on iPhone only. Enterprise pricing is quoted, and for Vimcal EA it starts at five seats. Both paid plans come with a 14-day free trial.
Those figures come from Vimcal's own pricing pages. Several review sites and search summaries still print $20 and $75, or $16.67 and $62.50 billed yearly, which is an older price list. Below is what each plan includes, what an EA team actually pays in a year, the features that justify the EA premium, and when a different kind of tool is the better buy for an office that has no assistant at all.
How much does Vimcal cost?
| Plan | Billed yearly | Billed monthly | Cost per year (yearly / monthly) |
|---|---|---|---|
| Free | $0, iPhone only | $0 | $0 |
| Vimcal (iOS and desktop) | $25 per user a month | $35 | $300 / $420 |
| Vimcal EA | $68.75 per seat a month | $85 | $825 / $1,020 |
| Enterprise | Quoted | Quoted | Custom; Vimcal EA Enterprise starts at 5 seats |
The annual discount is not the same on both products. On the standard plan, yearly billing saves 29 percent ($300 against $420). On Vimcal EA it saves 19 percent ($825 against $1,020). An assistant who is trialing Vimcal EA for a new executive can reasonably start monthly, but once the tool sticks, the yearly plan pays back $195 per seat.
Is Vimcal free?
Partly. The free plan is a real calendar, but it only runs on iOS. It covers the calendar itself, dragging and copying availability into messages, time zone conversion and merging duplicate events, with dark mode. There is no desktop app, no booking links, no polls and no team scheduling on Free. Anyone who works from a Mac or PC, which is every executive assistant, needs a paid plan.
What is included in each Vimcal plan?
The standard paid plan adds the desktop apps for Mac and PC, a menu bar app on Mac, unlimited personal booking links, polls for group scheduling, team scheduling and removal of the Vimcal signature from shared availability. It is aimed at founders, investors and salespeople who live in their calendar and want to move fast with keyboard shortcuts.
Vimcal EA includes everything above, plus the features that only make sense when you run someone else's calendar:
- Support for five simultaneous time zones on one view.
- Calendar holds that are created and deleted automatically when you offer times and when one is accepted.
- Polls and collaborative spreadsheets for large meetings with many attendees.
- A history of the time slots you already offered, so you never double-offer.
- Calendar audits and weekly calendar metrics for each executive.
- Saved preferences per executive, plus one-to-one onboarding.
Vimcal's page lists one-click account handoff to another EA as coming soon, so do not budget for it yet. Vimcal EA is a layer on top of your company's existing Google or Outlook calendars rather than a replacement, which means no migration and no change for the executives.
Enterprise adds SAML single sign-on, SCIM, a custom MSA and DPA, security questionnaires, a dedicated support manager and custom billing. If your IT team requires single sign-on, you are on Enterprise regardless of headcount.
How much does Vimcal EA cost for a team?
Vimcal EA is priced per assistant seat, and one assistant typically manages several executives' calendars from that seat. Executives who want the Vimcal app for their own use are a separate question: ask Vimcal whether they need their own seat on the standard plan, because at $300 a year each it changes the total quickly.
| Team | Vimcal EA, yearly | Vimcal EA, monthly billing for 12 months | Plus executives on the standard plan, yearly |
|---|---|---|---|
| 1 EA supporting 2 executives | $825 | $1,020 | $1,425 if both executives take a $300 seat |
| 2 EAs supporting 5 executives | $1,650 | $2,040 | $3,150 |
| 4 EAs supporting 10 executives | $3,300 | $4,080 | $6,300 |
| 5 EAs or more | Enterprise quote; Vimcal EA Enterprise starts at 5 seats | ||
For context, $825 a year is a small fraction of what a US executive assistant earns. If the tool saves an assistant two hours a week of back-and-forth, it pays for itself many times over, which is why EA communities tend to recommend it.
Is Vimcal worth it?
For a human executive assistant who juggles several executives across time zones, yes. The automatic holds and the history of offered slots solve the two mistakes that cost EAs the most trust: double-booking and offering a time that was already promised to someone else. No general calendar does that, and Vimcal EA at $68.75 a month is priced like a professional tool rather than an enterprise system.
For a founder or manager without an assistant, the standard plan is a fast, pleasant calendar, but it is still a calendar. You are the one reading the email, choosing the times, sending the reply and chasing the person who never answered. If the meetings come to you through a link, a booking tool is cheaper: our Cal.com pricing guide and Calendly pricing breakdown cover the per-seat costs, and if your team mostly needs shared booking pages, dedicated team scheduling software is built for that job.
Vimcal vs Calendly for an executive assistant
The two get compared because both show up when an assistant searches for scheduling software, but they solve different problems. Calendly is a booking page: you send a link and the other person picks a slot. It costs $10 a seat a month on Standard and $16 on Teams billed yearly, and its Plus tiers at $18 and $24 add a notetaker and an email scheduling assistant. Vimcal is the calendar the assistant works in all day, with booking links included on the paid plan.
The difference shows up in executive scheduling. A CEO's external meetings are rarely booked through a public link. They are negotiated over email with another assistant, held tentatively while three parties confirm, then moved twice. Calendly has no concept of a tentative hold that cleans itself up, and no record of which slots you already offered on another thread. Vimcal EA was built around exactly those two jobs.
So the common answer for an EA team is both, not either. Calendly or Cal.com handles inbound requests from people who are happy to self-book, and Vimcal EA handles the negotiated meetings that make up most of an executive's week. If you are pricing the booking side as well, budget it separately: a five-person team on Calendly Teams adds $960 a year on top of the Vimcal EA seats.
Vimcal EA vs an AI assistant
The honest split is between equipping an assistant and doing the assistant's work. Vimcal EA equips a person: it makes a skilled EA faster. An AI office assistant such as OfficeAgent does the work itself: it reads the scheduling thread in Gmail or Outlook, proposes times from the real calendar, books the meeting once you approve, and then writes the recap, files the attachments and chases the follow-ups until the thread closes.
| Vimcal EA | OfficeAgent | |
|---|---|---|
| Who does the scheduling | Your executive assistant, faster | The AI, with your approval before anything is sent |
| Price | $68.75 per EA seat a month yearly, $85 monthly | $149 a month for one person ($888 a year); $399 a month for an office of up to 10 ($2,388 a year) |
| Beyond the calendar | Polls, spreadsheets, calendar audits | Email drafts, meeting recaps, document filing, follow-ups |
| Best for | Companies that already employ EAs | Offices that cannot justify a full-time assistant |
If you already pay an executive assistant, buy them Vimcal EA; it is one of the best-value tools in the job. If you are weighing whether to hire one, price the alternative first. Our AI executive assistant page shows what OfficeAgent handles end to end, and the executive assistant software guide compares the rest of the EA stack.
Does Vimcal have a free trial?
Yes. Vimcal offers a 14-day free trial on its paid plans, and the Vimcal EA trial comes with one-to-one onboarding. No credit card is required to start the free iOS plan. Vimcal also offers nonprofit discounts on request through its team, so a nonprofit chief of staff should ask before paying list price.
