AI Calendar Assistant That Ends the Scheduling Back and Forth
Officeagent reads availability across every calendar you connect, proposes slots that respect your buffers and focus blocks, and sends the invite the moment you approve it. Time zones handled, double-bookings gone.
In one answer
An AI calendar assistant reads your availability, proposes meeting times and manages invites for you. Officeagent checks every connected Google Calendar, suggests slots that respect buffers and focus blocks, handles time zones automatically, and sends each invite only after a human approves it.

How the AI scheduling assistant picks times you would have picked
Officeagent reads availability across every calendar you connect: your primary, shared team calendars, room calendars, even the personal one you overlay to protect school pickup. When a thread needs a meeting, it proposes two or three slots that fit all of them, phrased in the recipient's time zone, and drops the suggestion into a draft reply for your approval.
It also books the way you actually like to work: travel and prep buffers around meetings, focus blocks that are never offered as free, no meetings before your stated start, lunch left alone. Those preferences are rules you set once. The scheduling engine is the same one behind the AI meeting scheduler, and it pairs naturally with AI meeting notes once the meeting happens.
- Availability read across primary, shared and delegated calendars
- Buffers and focus blocks respected as hard constraints
- Every proposal written in the recipient's time zone
- Reschedules and cancellations drafted and chased end to end
- Invites sent only after you approve the final slot
What calendar permissions Officeagent needs, and why
The Google Calendar connection uses two scopes and nothing more. Read access to the calendars you select, so the assistant can compute real availability, including free-busy on calendars you share but do not own. Event write access, so that an approved slot becomes an invite with the right guests, agenda and video link.
Writes only ever happen on approval: no event is created, moved or cancelled until a human confirms it in the queue, and each change is logged. You choose which calendars are visible to the assistant during setup, and you can revoke the whole connection from your Google Account at any time.
- Read scope: compute availability across the calendars you select
- Event scope: create or move events only after a human approves
- Calendars you exclude at setup are never read at all
- Every created, moved or cancelled event is logged with its approver
Approval first, even for a calendar invite
A wrong invite is a small embarrassment with a client and a real problem with a board member, so the same rule applies here as everywhere in Officeagent: the assistant proposes, a human disposes. Each pending invite shows the guests, the slot, the agenda line and the conflicts it checked. Approve from the queue or from the daily brief, and the invite goes out under your name. The full pipeline is on the how it works page.
What the agent does in Google Calendar, and what you approve
| Task | What the agent does in Google Calendar | What you approve |
|---|---|---|
| New meeting request | Checks all connected calendars, proposes 2 to 3 slots in the guest's time zone | The slot list before it is offered |
| Confirmed booking | Creates the event with guests, agenda and video link | The final invite before it sends |
| Reschedule | Finds new options, drafts the apology and the invite update | The new time and the message |
| Focus time | Holds and defends focus blocks, declines conflicts with a draft reply | The rule once, then any exception |

Questions on this
Can it see calendars I share with my team?
Yes. Any calendar visible to your Google account can be included: shared team calendars, delegated executive calendars and room resources. You pick exactly which ones during setup, and excluded calendars are never read.
How does it handle time zones?
Every proposal is computed in UTC and phrased in the recipient's local time, with yours shown alongside in the approval queue. Daylight saving shifts are handled automatically, which is where most manual scheduling errors come from.
Will it ever move or cancel a meeting by itself?
No. Creating, moving and cancelling events all require a human approval, and each action is logged. If a guest asks to reschedule, you get a drafted reply plus new slot options, not a changed calendar.
Does it work with my email too?
That is the point: scheduling lives in email threads. Connect the Gmail integration and the assistant reads the request, checks the calendar and drafts the reply as one motion.
