First sort the category, because five different products share one search term

Search "employee onboarding software" and the results mix five products that do genuinely different jobs. Buyers pick the wrong type, find it does not fit how they actually hire, and conclude the whole category is oversold. Sorting yourself first takes two minutes and saves a demo cycle.

HR suites with an onboarding module (BambooHR, Rippling) hold the employee record for the whole employment lifecycle, and onboarding is one stage of it. You are buying an HRIS, and onboarding comes along with it. This is the right shape if you do not yet have a system of record for people.

Payroll platforms that include onboarding (Gusto) start from the pay run and work backwards. Offer letter, W-4, I-9, direct deposit and benefits enrollment all feed the thing they were built to do. If you already pay one of these, you very likely already own onboarding and do not know it.

Hourly and shift workforce apps (Homebase, Connecteam) are built for restaurants, retail, trades and care, where the constraint is scheduling and time clocks rather than benefits. Critically, they meter on locations or user blocks instead of per employee, which changes the arithmetic completely at 40 people.

Compliance specialists (WorkBright) exist for one reason: remote I-9 verification and E-Verify done correctly. If you hire seasonally, at volume, or across states where nobody can physically inspect a passport, this is a real problem and general HR software handles it poorly.

Training systems (Trainual) treat onboarding as course material. A new hire is assigned content, works through it and is tested on it. If your actual complaint is that new people take three months to become useful, this is the shape that fits, and a document checklist will not solve it.

Check what your payroll provider already includes before you buy anything

This belongs at the top of an honest list because a large share of small businesses shopping for onboarding software already pay for it. Payroll platforms have to collect the W-4, the I-9 and bank details in order to run a pay cycle at all, so almost every one of them ships an onboarding flow. It is frequently unbranded, sitting under a menu item called "hiring" or "new employee", which is why people do not find it.

Verified at gusto.com on August 20, 2026: Gusto Simple is $49 a month plus $6 per person per month, and Plus is $80 a month plus $12 per person. Both include self-service onboarding, offer letters, e-signature and document storage. Premium exists but Gusto states it will not upgrade or bill you for it until you have discussed pricing with their team, so there is no public figure.

The same is true of the other direction. If your HR suite already covers onboarding, adding a separate onboarding tool means maintaining the employee record in two places, and the reconciliation work quietly eats the time the tool was supposed to save.

BambooHR: the category default, and the $250 floor nobody quotes

BambooHR is what most US small businesses end up buying, and it deserves the position. Onboarding is well built: a new hire packet the employee completes before day one, custom welcome tasks, e-signature, pre-scheduled check-ins, an org chart so they can see who everyone is, and automated reminders that keep the hiring manager moving. It is genuinely pleasant software, which matters more than it sounds when the people using it are not HR professionals.

Pricing verified at bamboohr.com on August 20, 2026: Core is $10 per employee per month, Pro is $17 and Elite is $25, with automatic volume discounts as headcount grows. Onboarding, the new hire packet and the onboarding checklist are in every tier, e-signature is in Core and above, and Elite adds an extra 30 days of implementation support. Payroll is a separately priced add-on rather than part of the base plan.

Now the part that changes the decision. For companies with 25 employees or fewer, BambooHR is not billed per employee at all. It is a flat rate starting at $250 a month. Run that against your headcount before you get attached to the $10 figure. A team of 10 pays $250, which is $25 per employee, two and a half times the advertised rate. A team of 25 pays $250, which is exactly $10. A team of 6 pays $250, which is $41.67 each.

The floor is published and it is not a trick, but essentially no comparison article mentions it, so buyers under 25 people arrive at the sales call with a budget that is out by a factor of two or three. If you are a five-person company, BambooHR is one of the most expensive options on this page per head, not one of the cheapest.

Rippling: modular, and the number of modules is the budget

Rippling is the strongest answer when onboarding is not really an HR problem but an IT one. It provisions the laptop, creates the Google Workspace and Slack accounts, assigns the right app permissions by role, and reverses all of it on the last day. For a company where a new engineer needs eleven systems before they can do anything, nothing else on this list is close.

On pricing, be careful with any specific figure you read, including this one. Rippling's pricing page returned a 403 to us on August 20, 2026 and shows no standard table to the public. The figures published in Rippling's own blog content state the platform starts at $8 per employee per month with a $35 monthly base fee, with each HR, finance and IT product bought separately on top: identity and access management from around $8 per user per month, and Rippling Spend at $14 per employee per month. We are labelling these as reported by the vendor rather than verified on a pricing page, because that is what they are.

The structural point matters more than the entry price. Rippling is a platform plus modules, so the quote you receive depends entirely on how many modules the sales conversation ends up including. Rippling's own material puts a 100-person company running HRIS, payroll, benefits and time attendance at roughly $15 to $25 per employee per month, and more complex configurations higher. Decide which modules you are actually buying before the call, or the scope will be decided for you.

Homebase and Connecteam: the unit is not the employee, and that is the whole story

These two are built for hourly teams, and both are routinely dismissed in comparison articles because their headline prices look higher than a $10 per-employee HRIS. That comparison is wrong, because neither one meters per employee.

Essentials is $30 per location per month, or $24 billed annually. Plus is $70, or $56 annually. All-in-One is $120, or $96 annually. Onboarding and e-signature for employee paperwork sit in the All-in-One plan only, which is the detail to check before you buy a lower tier expecting them. Payroll is an add-on starting at $39 a month plus $6 per employee paid.

Work the arithmetic and the ranking inverts. A 40-person restaurant on one site pays $96 a month on All-in-One billed annually, which is $2.40 per employee. The same 40 people on BambooHR Core cost $400. But a business with three sites of five people each, 15 employees total, pays three times $96, which is $288 a month or $19.20 per head. Same product, eight times the cost per person. Count your locations, not your staff.

Its Small Business plan is free for life for up to 10 users with all hubs and all features included, which is the most generous free tier in this comparison by a distance. Above that, the HR and Skills Hub is $29 a month billed yearly, or $35 monthly, covering the first 30 users, then $0.50 per additional user. Advanced is $49 yearly or $59 monthly, then $1.50. Expert is $99 yearly or $119 monthly, then $3.00. Yearly billing saves 18 percent and there is a 14-day trial with no card.

Hiring and onboarding plus documents and e-signature live in the HR and Skills Hub, and the e-signature document allowance is capped by tier: up to 2 documents on Advanced, 10 on Expert and 30 on Enterprise. That cap is the thing that pushes companies up a tier, not user count.

A note on reading Connecteam's pricing yourself: the page renders its monthly and yearly columns in a way that is easy to invert, and automated readers get them backwards. Confirm which way the toggle is set before you write a number in a budget.

WorkBright and Deel: when the hard problem is I-9 compliance or hiring across borders

Both of these solve a specific legal problem rather than a workflow one, and both are the right answer only when you have that problem.

WorkBright exists for remote I-9 completion and E-Verify. If you hire seasonal staff at volume, or hire people in states where no manager can physically inspect their documents, standard HR software handles this badly and the penalties for getting it wrong are real. The one concrete published figure is WorkBright+, their managed service, at $25 per I-9 for end-to-end E-Verify case handling. That is a useful benchmark even if you buy elsewhere, because it puts a market price on the task.

Deel is for hiring outside the US, or for contractor-heavy workforces. Pricing verified at deel.com on August 20, 2026: Contractor management is $49 per contractor per month, Contractor of Record is $325, US PEO is $125 per employee per month and EOR is $599 per employee per month. Their talent and ATS product starts at $14 per worker per month. No standalone price is listed for HR alone, which is described as included in the PEO and EOR figures.

The honest reading: if every hire is a W-2 employee in one US state, Deel is an expensive way to solve a problem you do not have. Trainual: when onboarding really means training

Trainual is the fit when the complaint behind your search is not "we lose paperwork" but "it takes a new person three months to be useful, and they ask the same twelve questions every time". Content is organised into subjects and roles, assigned as training, worked through and tested, and you get a completion record.

Re-checked at trainual.com on August 10, 2026 and unchanged: no prices are published. The tiers are Core, Pro, Premium and Enterprise, and the page directs you to book a demo, stating that pricing varies with team size and features. Trainual historically published per-tier pricing tied to employee bands, so the confident numbers in older comparison articles are stale.

The trade-off is scope in the other direction: Trainual will not collect a W-4 or run E-Verify. Companies that need both usually pair a training system with whatever their payroll provider already does for paperwork, rather than looking for one product that does everything acceptably and nothing well.
